GUEST ROOM BOOKING TERMS OF SERVICE
Retreat Dates: March 26-29, 2026
Location: Rancho de la Osa Guest Ranch, Sasabe, AZ
Booking Managed By: Tiny Dutchmen, LLC and Cabala LLC on behalf of Rancho de la Osa
I. GENERAL TERMS
A. BOOKING RELATIONSHIP
(1) Guest room bookings for the Cábala Desert Retreat are managed by Tiny Dutchmen, LLC and Cabala LLC (collectively "Organizers") on behalf of Rancho de la Osa Guest Ranch;
(2) By completing a room booking, Guest agrees to these Terms of Service in addition to the Cábala Desert Retreat Terms and Conditions and Liability Waiver.
B. RETREAT PASS REQUIREMENT
(1) A room booking does not include admission to the Cábala Desert Retreat;
(2) Every individual staying in a guest room must possess a valid retreat pass;
(3) Retreat passes must be purchased separately;
(4) Guests without valid retreat passes will not be permitted to remain on the property.
C. AGE REQUIREMENT
(1) All guests staying in a room must be 18 years of age or older;
(2) Valid government-issued photo identification must be presented upon check-in; (3) No exceptions will be made to the age requirement.
II. PAYMENT AND DEPOSITS
A. PAYMENT OPTIONS
(1) Guest may pay the full room price at time of booking; OR
(2) Guest may make a partial deposit to secure the reservation with the balance due later.
B. DEPOSIT POLICY (IF APPLICABLE)
(1) Deposits are accepted to secure a reservation but do not constitute full payment;
(2) If a deposit is made, full payment is required by March 12, 2026 (fourteen calendar days before the retreat);
(3) Failure to complete payment by March 12, 2026 will result in forfeiture of any deposit paid and automatic cancellation of the reservation;
(4) No exceptions will be made to the final payment deadline.
III. CANCELLATION AND REFUND POLICY
A. REFUND ELIGIBILITY
(1) Room bookings may be refunded if cancelled fourteen (14) or more calendar days before the retreat begins (by March 12, 2026);
(2) No refunds will be provided for cancellations made fewer than fourteen (14) calendar days before the retreat (after March 12, 2026);
(3) No partial refunds will be provided for early departure, late arrival, or failure to use the full duration of the booking.
B. CREDIT TOWARD FUTURE RETREATS
(1) At the sole discretion of Organizers, Guest may be offered credit toward a future Cábala Desert Retreat in lieu of a refund;
(2) Credits are valid only for future Cábala Desert Retreat events;
(3) Credits are NOT valid for regular operations at Rancho de la Osa Guest Ranch outside of Cábala events;
(4) Credits have no cash value and cannot be transferred to third parties;
(5) Credits expire one (1) year from the date of the original retreat and cannot be extended.
IV. BOOKING TRANSFERS AND RESALE
A. NO RESALE
(1) Room bookings may not be resold or transferred through third-party platforms or individuals; (2) Resale of room bookings is strictly prohibited.
B. TRANSFER REQUESTS
(1) Transfer requests must be submitted in writing to Organizers;
(2) Transfers are granted at the sole discretion of Organizers and may be denied for any reason; (3) Approved transfers may be subject to administrative fees.
V. ROOM MODIFICATIONS
A. CHANGES TO BOOKING
(1) Requests to modify a room booking (e.g., change room type) may be submitted to Organizers; (2) Modifications are subject to availability and granted at the sole discretion of Organizers;
(3) No guarantees are made regarding the availability of alternative rooms.
VI. CHECK-IN AND CHECK-OUT
A. CHECK-IN
(1) Check-in begins at 4:00 PM on Thursday, March 26, 2026;
(2) Guests may not access rooms before 4:00 PM on Thursday;
(3) Valid government-issued photo identification is required at check-in;
(4) All room occupants must be listed at check-in.
B. CHECK-OUT
(1) Check-out is by 2:00 PM on Sunday, March 29, 2026;
(2) All guests must vacate their rooms by 2:00 PM on Sunday;
(3) Late check-out is not available;
(4) Failure to vacate by check-out time may result in additional charges.
VII. ROOM OCCUPANCY AND GUESTS
A. MAXIMUM OCCUPANCY
(1) A maximum of five (5) guests are permitted per room;
(2) There is no additional fee for multiple guests up to the maximum occupancy; (3) All occupants must possess valid retreat passes;
(4) All occupants must be 18 years of age or older.
B. ROOM ASSIGNMENT
(1) Guests select their room at time of booking;
(2) Room preferences and specific requests are not guaranteed.
VIII. ROOM SERVICES AND AMENITIES
A. SERVICES NOT INCLUDED
(1) There is no housekeeping service during the retreat;
(2) No daily room cleaning, towel service, or turndown service is provided;
(3) Room occupancy only—no additional services are included with the booking.
B. BEDDING
(1) Rooms are provided with standard bedding;
(2) Additional sets of bedding are not guaranteed to be available; (3) Guests requiring additional bedding should bring their own.
IX. GUEST CONDUCT AND ROOM RULES
A. NO SMOKING POLICY
(1) Smoking is strictly prohibited inside all guest rooms;
(2) If Organizers determine, at their sole discretion, that smoking has occurred in a room, a $500 fine will be charged to the card on file;
(3) This determination is final and not subject to dispute.
B. DAMAGE TO ROOM
(1) Guests are responsible for any damage to the room, furnishings, or fixtures during their stay; (2) Damage charges will be billed to the card on file;
(3) Guests authorize Organizers to charge the card on file for any damages without prior notice.
C. LOST KEY
(1) A $100 fee will be charged for any lost room key; (2) Lost key fees will be billed to the card on file.
D. COMPLIANCE WITH RULES
(1) Guests must comply with all ranch rules and retreat guidelines;
(2) Failure to comply may result in removal from the retreat without refund; (3) Guests removed for rule violations forfeit all payments made.
X. PROPERTY BOUNDARIES AND SAFETY
A. FENCED AREAS
(1) Guests must remain within fenced areas of the property at all times;
(2) Guests may only access areas outside fenced boundaries when accompanied by a staff member; (3) Unauthorized access to restricted areas may result in removal from the retreat without refund.
B. POOL AND AQUATIC AREAS
(1) There is NO LIFEGUARD on duty at any pool or water feature; (2) Swimming and pool use is conducted entirely at Guest's own risk; (3) Guests assume all risks of swimming and water activities.
XI. PERSONAL PROPERTY
A. VALUABLES
(1) Organizers are not responsible for lost, stolen, or damaged personal property; (2) Guests are responsible for securing their own belongings;
(3) Guests are advised not to bring valuable items.
XII. FORCE MAJEURE AND CANCELLATION BY ORGANIZERS
A. FORCE MAJEURE EVENTS
Organizers shall not be liable for any failure to perform due to circumstances beyond their reasonable control, including but not limited to:
(1) Natural disasters, severe weather, or environmental conditions;
(2) Government restrictions, regulations, or public health emergencies;
(3) Labor disputes, transportation disruptions, or utility failures;
(4) Acts of terrorism, war, or civil unrest;
(5) Venue unavailability or cancellation by Rancho de la Osa Guest Ranch.
B. RETREAT CANCELLATION
(1) In the event of retreat cancellation by Organizers, Guest's sole remedy shall be a full refund of room booking payments made;
(2) Organizers are not responsible for Guest's travel expenses, other lodging costs, or incidental damages resulting from retreat cancellation.
XIII. DISPUTE RESOLUTION
A. GOVERNING LAW
These Terms of Service shall be governed by and construed in accordance with the laws of the State of Arizona, without regard to conflict of law principles.
B. JURISDICTION AND VENUE
Any disputes arising from these Terms of Service or Guest's room booking shall be subject to the exclusive jurisdiction of the courts of Pima County, Arizona.
C. LIMITATION OF LIABILITY
Organizers' total liability to Guest for any and all claims related to the room booking shall not exceed the amount paid by Guest for the room booking.
XIV. ADDITIONAL PROVISIONS
A. ENTIRE AGREEMENT
These Terms of Service, together with the Cábala Desert Retreat Terms and Conditions and Liability Waiver, constitute the entire agreement between Guest and Organizers regarding room bookings.
B. MODIFICATIONS
These Terms of Service may only be modified by written agreement signed by both parties.
C. SEVERABILITY
If any provision of these Terms of Service is deemed unenforceable, the remainder shall remain in full force and effect.
D. ACKNOWLEDGMENT
By completing a room booking and payment, Guest acknowledges having read, understood, and agreed to be bound by these Terms of Service.
